My opinion is that I think it would be best if the main fee included:
1. Conference room, since everyone puts this to use
2. Meals (lunch and dinner only), since almost everyone attends them
3. $50 Surplus for cost overruns, supplies, etc.
Any of the surplus that is left (if more than $20/person) gets refunded. If under $20/person, stays in fund for next year.
Hotel (wherever conference is being held): Try to block out up to 10 rooms at a fixed discounted rate -- no guarantee.
This way folks can stay at the main hotel, if they desire. But they don't feel obligated to.
Having everyone pay for their own meals didn't work well in the past. Places won't normally do separate checks for large parties, and everyone tends to leave at various times. The person left with the guest check in the past has had to cough up a lot of money.
Folks who who had left $20 for a $6 ($6.95) appetizer, a $9 ($9.95) sandwich, and a soda $1 ($1.99), think they left an extra $4 for tax and tip. In reality, the food and beverage came to $18.89, plus 26% (for tax and the mandatory 18% gratuity). So the $20 should have been $24, and Russ or SteveO or MJ is left funding the shortfall.
Wish I could step up and help with the planning, but I think it really needs to be someone in that area to spearhead it. It shouldn't always have to be Kenric. There are plenty of other folks in the area that attend this.
